Following P&G invoice requirements will ensure that invoices are paid in accordance to the negotiated contract terms. In order to continue the efficient handling and payment of your invoices and improved customer service it is essential that you refer to the mandatory legal and company requirements to be added to each invoice or credit note.
It is of critical importance that we receive valid supporting documentation, meeting all legal and tax requirements. This will usually be an invoice drawn in accordance with the supplier's country regulations. In issuing that invoice, please make sure the correct P&G legal entity name, address and Tax identification number is used, and that the invoice format and content meets legal and tax requirements.

In order to enable P&G to pay your Company on time, your invoices and credit notes must adhere to the P&G Global Invoicing Guidelines and meet (as applicable) the Country specific requirements outlined in the "Invoicing Requirements" section.   • Full name of the customer.
  • Full address of the customer.
  • Ship To Information: Company Name, Address and Country.
  • Sold to Information: Company Name, Address and Country.
  • The VAT identification number/RIF of the customer.
Supplier Information
  • Full name of the supplier.
  • Full address of the supplier.
  • Phone Number, Fax and email of the supplier.
  • Telephone number of the supplier.
  • The VAT identification number/RIF of the supplier.
General Information
  • Date of issue of the invoice.
  • Description/nature of the goods or services.
  • Quantity of the goods supplied or the extent and nature of the services rendered.
  • Taxable amount per VAT rate or exemption.
  • VAT rate(s) applied.
  • Exemption Indicator.
  • Total VAT amount.
  • Total amount of the invoice.
  • Sequential number, based on one or more series, which uniquely identifies the invoice.
  • Date on which the supply of goods or services was made or completed or the date on which the payment on account was made before any supply, insofar as that a date can be determined and differs from the date of issue of the invoice.
  • Price per unit.
  • Excluding VAT.
  • Domestic supplier's invoices must be expressed in Local Currency VEF.
  • As long as the currency of the transaction is clear in the invoice, it does not need to be displayed close to the price per unit. When the invoice is expressed in foreign currency (USD), it must show the exchange rate used and the equivalent value in local currency VEF must be indicated on the invoice, calculated at the exchange rate in effect at the invoice date.
  • Any discounts or rebates, not included in the unit price.
  • Type of document i.e: Invoice, Credit Note, Debit Note.
  • Full Name and RIF Number (Tax ID) of the authorized printing company, as well as the nomenclature and issuance date of the Administrative Provision granting the authorization for printing invoices and date of preparation of the pre-printed invoices layout, indicated with eight (8) numbers.
  • Total of control numbers assigned expressed as follows: "From N°.. to N°..".
  • Unless they are authorized to use Fiscal Machines ("maquinas fiscales").
  • Invoices and other documents must be issued by duplicate. In any case, the copies should expressly include the phrase "without rights to tax credits".
  • The invoice or equivalent document, when issued by a non VAT taxable person, should include (in handwriting or printed letters) the phrase "This document does not entitle the bearer to tax credit" or simply "Without right to tax credit".
  • Conditions of the supply (i.e. in cash, on credit, etc.).
  • Only one Invoice per Page.
  • When a credit note is issued, it should indicate the invoice related, its date and description.
  • Invoices without PO (used with payment services authorization) - Approver name on the Invoice or Cost Center/ Profit Center/ WBS/ Internal Order or General Ledger (GL).
  • Credit Notes with PO - Material Number, Parked Credit Number (if available), Supplier Authorization Number (For Quantity Return it is the Return Authorization Number), Original Invoice Reference.
  • Credit Notes without PO - Supplier Code (Supplier Master Number), Cost Center/ Profit Center / SBL ID / WBS or Internal Order, General Ledger (GL) Account, Legal Entity (also known as Company Code), P&G contact name, Original invoice reference is highly recommended.

Supporting Documents
  • If you are a Customs Agent, you must attach all supports of third party payments.
  • Attach copy of purchase order for purchase order based invoices.
  • Exchange Control for foreign suppliers: Bill of Lading, Import Declaration, Original and Copy Invoice, Service contract approved and signed by legal department and P&G.
Procedures
  • Send the invoice directly via courier to P&G General Office.
  • If you are a foreign supplier that provides raw materials to P&G, remember that the bill should be sent with the material and that the customs agent in the destination country will send the invoice to payment process.
Payment
  • P&G standard payment terms are 75 days, this applies to all new vendor registrations effective February, 2013. However, the payment terms will be defined by the P&G Sourcing Buyers according to “best value” and the agreements.
  • For local suppliers the payment terms will start with the reception stamp.
  • For foreign suppliers the payment terms will start according to the invoice date.
  • For standard payment times, please refer tot the table attached.
